Moteligo ("we," "our," or "us") provides a cloud-based Hotel Management Software platform (the "Service") designed to help hoteliers streamline property operations, manage guest reservations, synchronize online booking channels, handle billing, and coordinate front desk tasks.

This Privacy Policy describes how we collect, use, process, and disclose information, including personal data of hoteliers (our "Customers") and their hotel guests ("Guests"), in connection with the access and use of our Service and websites.

2. Information We Collect

We collect information to provide, maintain, and secure our property management system services:

A. Customer Account Information

When a property registers for a Moteligo account, we collect corporate credentials including property owner names, business emails, billing addresses, tax registrations, property counts, and system administrator logins.

B. Guest Reservation Data

As a data processor operating on behalf of our Customers (the properties), we store Guest database profiles necessary for check-ins, reservations, and housekeeping:

  • Guest contact details (names, emails, phone numbers).
  • Booking parameters (check-in/check-out dates, room numbers, rates, booking origin like OTA or direct website).
  • Government-issued identification numbers or passport copies (when uploaded by front desks to satisfy local regulatory mandates).
  • Special guest preferences, billing logs, and invoice histories.

C. Payment & Transaction Logs

Payment records (excluding raw credit card details which are processed securely via PCI-DSS compliant third-party gateways like Stripe) are logged to track reservation transactions, room charges, and deposits.

3. How We Use Your Information

We process data to deliver secure hotel management software operations:

  • Core Service Provision: Displaying reservation timelines, updating room availability, maintaining housekeeping checklists, and generating guest bills.
  • OTA Channel Manager Syncing: Transmitting inventory logs to third-party travel distribution channels (OTAs) to prevent double-bookings.
  • Security Auditing: Keeping secure system log registries to track staff shifts, check-in authorizations, and drawer handovers.
  • Customer Support: Assisting hoteliers with PMS database configurations, billing, and custom site layouts.

4. Data Storage and Retention

Moteligo is hosted on secure cloud infrastructure. We retain database records for as long as our Customer maintains active subscription accounts. Guest logs uploaded to the PMS are kept according to the retention guidelines established by the respective hotel property administrator. We back up databases on regular schedules to prevent database corruption.

5. Security of Guest Data

We implement robust technical protocols to safeguard hospitality database entries:

  • Encryption of data in transit (SSL/TLS) and at rest.
  • Restricted server access permissions limited to authorized Moteligo operations personnel.
  • PCI-DSS compliant payment processing integrations.

6. Your Choices & Data Rights

Hoteliers may access, rectify, or close their systems accounts by visiting their subscription panel. Since Moteligo acts as a data processor for Guest records, individual Guests seeking to delete or edit their booking profiles should contact the respective hotel properties directly to request database purges.
